Office Assistant, Commonwealth Fund for KET

Used by more than two million people each week, KET is Kentucky’s only statewide media organization, and broadcasts into 8 states and 10 media markets, along with providing live and archived streaming services. In addition to offering high-quality PBS programming, KET annually produces hundreds of hours of award-winning local productions and creates nationally recognized educational resources.

This is a unique opportunity to work with an outstanding, respected, and trusted public media team, and to support a wide variety of public affairs and general productions, including Kentucky’s only nightly statewide news program, six locally produced series, and ongoing special programs.

As the Office Assistant for the Commonwealth Fund for KET, you will serve as one of the first points of contact to welcome supporters of KET. This position is integral to coordinating logistics for events and supporting volunteers, as well as completing general office duties for a fundraising team of 12, including administration support for senior staff.

Our ideal Candidate will:

Deliver positive, timely and effective customer service such as greeting visitors at the front desk, directing telephone switchboard, corresponding with internal and external stakeholders, recording contacts in donor database.

Oversee in-office mail systems that include delivery and processing of incoming and outgoing mail; check documentation and security; electronic scans, mail merges and filing.

Coordinate maintenance and troubleshoot issues with office systems such as computers, printers, health and safety equipment. Order and maintain office supplies and furnishings.

Perform database management functions, ensuring data integrity and accuracy.

Assist the president of the Commonwealth Fund with administrative support including IT matters, calendar updates, scheduling/RSVPs, travel, and other. Support Regional Boards by preparing meeting materials, providing notice and other matters as needed.

Serve as the on-site logistics coordinator for events. Offer creative input; solicit and gather in-kind donations; manager vendors; support volunteers; provide set-up and clean-up labor; assist with registration, auction and other duties as needed. Supply additional support throughout the planning process.

Responsible for “front-of-house” volunteer stewardship during on-air pledge drives. Includes soliciting in-kind food donations, coordinating pick-ups and clean-up, assembling training materials or peer-to-peer supplies, managing physical/technical set-up of training and dining rooms, coordinating welcome signage and gifts, organizing recruiting staff volunteers, greeting visitors.

In collaboration with project managers and KET’s Marketing division, assist with strategy development, audience segmentation, writing and creation of Fund marketing materials, specifically that of digital campaigns including email, social media and peer-to-peer fundraising, plus other collateral as assigned.

Assist with administration and coordination of internship program.

Offer hands-on, administrative, technical and fundraising support for Fund staff as needed.

Provide front-desk coverage for KET Network Center as needed.


Successful applicants will have the following minimum qualifications, skills, and experience:

Bachelor’s degree or equivalent combination of education, training and experience preferred.

Must have excellent writing, verbal and interpersonal skills, and demonstrate professionalism, poise, a strong work ethic, good judgment and the ability to ensure confidentiality of sensitive matters.

Must be highly organized and able to perform and prioritize multiple tasks with accuracy and attention to detail.

Proven computer proficiency and database management skills, including Outlook, Excel, and PowerPoint.

Some graphic design experience preferred.

Experience in customer service and/or non-profit fundraising preferred.

Ability to be flexible and work occasional nights and weekends.
